How to choose the right software

Each organization is vastly different, and creating a tech stack that works for you requires thoughtful planning. It’s no small feat, and can sometimes seem daunting, but placing a priority on building your stack in an efficient way will only be beneficial in the long run. Here are the key areas to keep in mind:

1. Understand your organization's needs

Before diving into any software purchases, take a step back and understand what your organization wants, then needs:

  • Pinpoint the pain points: What are the biggest bottlenecks in your current processes? Are you constantly scrambling to meet deadlines? Are reports taking forever to compile? Targeting the problem areas will help you find solutions that actually address your challenges.

  • Define goals: What are you aiming to achieve in the next 6 months? 1 year? 5 years? Is this to keep the doors open? Scale the organization? Whether you're looking to secure more grants, improve reporting, or simplify communication, having clear goals will guide your software selection process.

  • Involve your team: I cannot stress this point enough. Your team are the "end users" or day to day individuals that will be working within the software the most. They'll have valuable insights into what will help them work more efficiently. Don't just rely on leadership to make these decisions, make change from the ground up!

2. Understand what "Integration" truly means

It's easy to end up with a bunch of tools that don't talk to each other, creating silos of information and inefficiencies. When thinking about how you want your tech stack to communicate across various parts of your organization, prioritize software that integrates well with other tools. This integration helps ensure a smoother workflow and prevents duplicate data entry.

*Integration Beware* While my points above paint a good picture of why information flowing between systems can be good, understand if this is what others at your organization want. Sometimes teams don't want their systems to be augmented without their explicit permission. We see this with Finance teams that don't want anything being "pushed in" to their systems.

3. Understand your budget

Take the time to understand your budget constraints.

Gather detailed pricing information from the solutions you are considering, including any hidden fees or costs associated with a subscription. If possible, conduct an ROI analysis to determine the potential return on investment for each solution.

4. Seek feedback and recommendations from other nonprofits

Connect with other nonprofits similar to yours to get insights into the software they use and their experiences. Explore reviews and feedback on trusted review sites to gather unbiased opinions about the tools you are evaluating.
